ProcessFlows Signs Agreement with print solution developer, PrinterOn, to Supply Mobile Printing Solutions for Android, Blackberry, iPhone & iPad in the UK

The consumerisation of IT means it is now commonplace for people to use their personal mobile devices for work activities – BYOD (bring your own device).

Organisations are keen to realise the benefits of BYOD; such as enhanced employee productivity, efficiency gains resulting from reduced corporate liable expense for the devices (and associated services) and less dependency on the IT department/helpdesk. They therefore want to support this trend.

Many are introducing a BYOD policy to make it clear what the IT department’s level of support is for personal devices and to establish security procedures. Some are even giving employees a payment to purchase and maintain a mobile device of their choice; with a view to reducing IT workload and costs.

There still remains the difficulty of printing from a mobile device.

A third-party print app is available (but these can be difficult to configure for all but the technically gifted) or users can email the document to someone who has PC access to the network and get them to print it for you.

Mobile Printing Will Ease BYOD Transition

The BYOD trend brings many benefits to the enterprise. It increases employee mobility, and provides greater efficiency as employees access business information anytime from anywhere. However, this has caused some unexpected challenges for IT departments as employees expect PC-like functionality from these devices and have put the pressure on IT to make it happen. As employee dependency on mobile devices increases, so do their expectations for how the devices function in and out of the office.

Whether a company is standardizing on tablets or employees are bringing in personal mobile devices, there are some common oversights that occur. Surprisingly, at the top of the list is the need for mobile printing. In fact, a recent TechNavio report points to printing as the most requested feature in mobile devices. Although many people might assume they can simply click “print” from their tablet or smartphone and print to their normal workplace printer this is not the case on most devices. In many companies, IT has misjudged the need for hard copy documents and is realizing that employees need to print from these devices. An IDC report confirmed this need, citing an increase of users printing from their mobile devices in 2012 that will continue to grow as more devices are brought into the enterprise.

We challenge IT to consider mobile printing as a key to employee mobility and productivity. IT should discuss what they want their employees’ mobile print user experience to be by answering a few questions. Should all employees have a simple way to print regardless of their type of device? How will documents and data be secured? How easy will it be to teach employees a new way to print from the devices? To help decision makers think through the printing process, here are some of the top criteria to consider based on our experience working with enterprise customers.

The Employee and IT Experience

Printing should be simple and easy for employees and require as little training as possible. Employees printing from mobile devices should be able to do so directly from any application without an added step of accessing a separate app on the device. All types of devices should be supported by a mobile printing solution, and should have the flexibility to print to any brand or type of printer.

Mobile printing software should also integrate seamlessly into the existing corporate infrastructure, and require no additional hardware costs. For IT, the management of the printing solution must be straightforward, so they can focus their attention on other critical job functions. We recommend looking for a solution that supports IT’s administrative needs, such as a central dashboard for configuring and managing the existing print infrastructure and enabling mobile printing across the entire printer fleet, regardless of brand.

Tracking Usage

Managing and tracking printing from mobile devices inside the enterprise has posed challenges for IT departments big and small. With desktop and laptop computers, IT can set printing parameters by user. However, this becomes harder when employees bring their own device to work. When choosing a solution, select one that allows IT managers to track and manage print jobs from mobile devices, integrating with job accounting software.

Mobile printing software should also allow IT to implement policies to manage access to printers within the company based on a user ID. IT can use mobile printing to enforce policies that control which printers can be used and the types of printing options available (e.g., black/white or color) for each user or department.

Security and Control

Security and protecting sensitive information remains a top priority for enterprises. Mobile printing software must provide a secure way to print, as well as keep print jobs within the firewall. A private cloud allows print jobs to be held in a queue inside the firewall, with no upload to an external public cloud required. In selecting a solution, also look for one that allows IT to set how long documents will remain in the secure queue.

Being able to provide secure Wi-Fi printing from inside and outside the firewall to printers located on the corporate network, without changing the current firewall settings, is also an important security consideration. Additionally, secure-release functionality can offer users who print from their mobile device the ability to release their print jobs when they are at the printer. This ensures sensitive documents are not left at the printer. Furthermore, attention should also be given to software that has the ability to authenticate mobile users against Active Directory to secure printers from unauthorized use.

Don’t Forget About Laptops

Today’s BYOD environment is not exclusive to tablets and smartphones – employees still use personal or company-issued laptops. While “file-print” is the standard print functionality from laptops, employees that are away from their work area or at another company building or site are likely not to have print drivers loaded for nearby printers. In order to print, employees will need to place a call to the IT helpdesk or incur productivity loss, as well as potential security risk, by asking co-workers to print from USB drives or forwarded emails. A universal print driver as part of a mobile printing solution will keep mobile workers productive and data secure.

Guest Printing

A mobile printing solution should be flexible. In companies that do not yet allow employee mobile devices on the corporate network, employees who bring their own devices to work expect the same level of efficiency as if they were. Guest printing is essential for these employees in addition to visitors, including contractors and consultants, who need to print. An optimal guest printing solution allows users to print onsite without IT granting protected network access or opening additional firewall ports.

Choosing a Solution

Depending on your company needs and situation, certain features will take priority over others for a mobile printing solution. Ultimately, it is important that businesses realize the full advantages of employee BYOD efficiency and productivity, without creating security risks or causing additional headaches for IT. Understand the basic challenges of mobile printing in your environment before beginning any initiative and then start with a proof of concept to ensure the solution you chose is a good fit for your company’s needs.

Chelmsford Public Library Selects PrinterOn

Read Brian Herzog’s blog about launching the PrinterOn Mobile Printing Solution at the Chelmsford Public Library in Massachusetts.

Last week’s reference question reminded me to post about a new service we’ve just started offering in my library – wireless “print from anywhere” for patrons.

We use Envisionware’s LPT:One for our pay-for-print station in the library, which does have wireless capability. But patrons need to install a driver on their laptop, and only really works within the library – which is great for people printing from their own laptops, but we were hoping for more.

A couple nearby libraries were using PrinterOn, and that’s what we decided to go with. It is web-based printing, which lets people really print from anywhere – the library, home, the coffee shop in the Town center, their smartphone while standing on the sidewalk, Canada – anything that can get to the internet can now send print jobs to be picked up at my library. Pretty neat.

Getting it Set Up
Of course we kept LPT:One for printing from our public workstations, because it works really well. Our initial intent was to integrate the wireless printing with our existing pay-for-print station, so it would be totally self-serve for patrons. However, when we spoke with our printer/copier management company, the cost of integration was prohibitive (about $4,000, mainly to update the hardware already in place) – especially for a service that we had no idea how much use it would get.

So we decided to do it the cheap way and run everything out of the Reference Desk. We lose the self-service aspect, and staff have to release each print job and manually handle patron payments, but it was worth it for a trial (and, if use justifies the $4,000, I’m sure we can negotiate with the print management company later on).

The PrinterOn software works well and was easy to install. There was a $200 setup fee and about a $500 annual subscription (roughly – and our Friends group provided the funding), and PrinterOn tech support installed everything we needed on our existing network server. The only other cost was that we bought a new printer, because we wanted to offer B&W and color, single- and double-sided printing, all from one printer. The printer we chose was the Xerox Phaser 6500, which, so far, has been just fine.

How It Works
To use it, patrons start at http://www.chelmsfordlibrary.org/webprint, and it’s pretty straight-forward. You can upload a file from your computer or print a website, choose between B&W/color, single- or double-sided, and page orientation. Patrons both name their print job and get a job number, so we know which is theirs when they pick it up. There’s also an option to print from email – you just email an attachment to our “print” email address (provided by PrinterOn), and the software knows to add the attachment to the print queue.

When patrons come to the Reference Desk, we log into the print queue and locate their job, hit print, and then calculate cost X number of pages after the job prints. We charge $0.15 for B&W and $0.25 for color, and charge based on pages – so, printing double-sided still only counts as one page. We also set it so jobs stay in the queue for 72 hours – after that, they automatically disappear.

Promotion and Results
We’ve got handouts for in-library promotion, and we’re going to try to leave them at other likely spots around town – coffee shops, hotels, etc. It’s fairly simple, but anyone is free to use and adapt it for your library if you like:

We launched this service about two weeks ago, and I have been shocked at how much it’s been used so far – about once a day, at least. When it was ready, I added a link to our homepage (and mobile and Library Anytime sites too), and we put it on Facebook and in our weekly email newsletter. The next day three different patrons casually picked up print jobs, as if we’d been offering it for years.

But best of all, all patrons have figured out the interface, and no one has had any trouble sending print jobs. The whole thing couldn’t have gone more smoothly, and I love offering library services people can use from home.
